1. Introduction

LancerWise ("we", "our", or "us") is committed to protecting your personal data. This Privacy Policy explains what information we collect when you use LancerWise, how we use it, and the choices you have. By using our service, you agree to the practices described here.

2. Data We Collect

We collect only what is necessary to provide the service:

  • Account data: your email address and display name when you register.
  • Profile data: optional details such as company name, logo, and billing preferences.
  • Client data: names, emails, and company details you enter for your clients.
  • Invoices and contracts: the documents, line items, and payment records you create.
  • Time entries: hours, project associations, and notes you log in the time tracker.
  • Usage data: pages visited and features used, collected anonymously to improve the product.

3. How We Use Your Data

  • To provide, maintain, and improve the LancerWise service.
  • To send transactional emails (invoice notifications, payment reminders) that you configure.
  • To send product updates and tips — you may unsubscribe at any time.
  • To comply with legal obligations where required.

We do not sell your data. We do not use it for advertising.

4. Third-Party Services

We use the following sub-processors to deliver the service:

  • Supabase — database storage and authentication (PostgreSQL with row-level security).
  • Vercel — application hosting and edge delivery.
  • Stripe — payment processing for Pro plan subscriptions and client invoice payments (Pro plan only). Stripe handles card data directly; LancerWise never stores card numbers.
  • Resend — transactional email delivery.
  • Google Analytics 4 — anonymous usage analytics (page views, feature usage) to help us improve the product. Only loaded with your explicit consent. IP addresses are anonymized. Google acts as a data processor under our instructions. You can opt out at any time via the cookie consent banner.

Each sub-processor is bound by data processing agreements and processes data only as instructed.

5. Data Security

All data is encrypted in transit (TLS) and at rest (AES-256). Access to your data is enforced by row-level security policies — no other user can read your records. We apply security patches promptly and review access controls regularly.

6. Data Retention

We retain your data for as long as your account is active. When you delete your account, all associated data — clients, invoices, time entries, and contracts — is permanently deleted within 30 days. Stripe subscription and payment records are retained as required by financial regulations.

7. Your Rights (GDPR)

If you are located in the European Economic Area, you have the right to:

  • Access a copy of your personal data.
  • Correct inaccurate data directly from your profile settings.
  • Export all your data at any time — go to Settings → Data & Privacyand click "Download My Data". Your data is exported as a structured text file containing all clients, projects, invoices, time entries, expenses, leads, and notes (GDPR Article 20 — data portability).
  • Delete your account and all associated data — go to Settings → Data & Privacyand click "Delete Account", or email support@lancerwise.com with subject "Account Deletion Request". We will process your request within 30 days as required by GDPR (Article 17 — right to erasure).
  • Object to processing for direct marketing (unsubscribe link in every email).

8. Cookies

We use the following types of cookies:

  • Essential cookies: required for authentication (session token). These cannot be disabled.
  • Analytics cookies (optional): Google Analytics 4 cookies to measure usage and improve the product. These are only set after you accept via the cookie consent banner. You can decline or withdraw consent at any time by clearing your browser cookies or using the banner shown on your first visit.

We do not use advertising or social media tracking cookies.
